This policy explains subscription, billing, refund, cancellation, and plan-change rules for Hotel Flow Central PMS. Specific order forms, invoices, or enterprise agreements may contain different terms and will control where they conflict.

Plans may be billed monthly or annually. Fees depend on package, room count, property count, add-ons, onboarding services, data migration, custom integrations, premium support, contracted service levels, and taxes.

Subscriptions may renew automatically unless cancelled according to the applicable order terms. Customers are responsible for maintaining accurate billing information and paying applicable taxes. Failed invoice settlement may result in notices, retry attempts, suspension, downgrade, or termination after reasonable notice where required.

Upgrades, downgrades, room-count changes, added properties, add-ons, onboarding fees, data migration fees, and custom integration work may be prorated or separately invoiced depending on the agreement. Enterprise contracts may include separate implementation milestones, billing schedules, and service commitments.

Unless otherwise stated in an order form or required by law, paid subscription fees, onboarding fees, data migration fees, and custom integration fees may be non-refundable once the service period or work has begun. Duplicate charges, billing errors, or unauthorized charges should be reported promptly for review.

Cancellation may stop future renewals but may not automatically refund past fees. Access after cancellation, data export windows, deletion timing, and backup retention depend on the applicable agreement and data-processing obligations.

Refunds, credits, proration, cancellation notice, data export windows, tax handling, and invoice timelines are handled according to the applicable order form, invoice, or written agreement.
